Beautiful location, exciting activities, comfortable rooms, appropriate workshop spaces, good food, well-paced agenda, accessible venue,  the expectations are usually as high as the budget remains tight.

Big Team Big Budgets?

After hundreds of retreats, we’ve seen some patterns.

• The “Typical” Team Retreat (50 Attendees): A standard 50-person offsite averages  €60,000–€70,000 in total spend, or roughly €1,150–€1,400 per attendee.
  
  
• Small / Executive Groups ( up to 25 Attendees): usually have a higher per-person spend (€2,500–€4,000+ per attendee) due to premium buyouts split across fewer attendees.
  
  
• Large / Enterprise Groups (100+ Attendees): Total budgets can reach €200,000–€300,000+, with per-person costs averaging €1,800–€2,000+ due to heavy AV staging and complex logistics.

1. Where does the money go?  

• Accommodation & Full-Board Packages 55% – 65%

No surprise here, this is where most of your budget goes. Full-board packages (think: rooms, workspace, and meals) usually eat up more than half the budget.

• Meals & Custom Catering  10% – 15%

Welcome dinners, special dietary requests, and those extra-long evening drink sessions take second position when it comes to spending. This is money well spent, food is the glue that keeps a team together. 

• Curated Experiences & Activities  8% – 12%

Outdoor challenges, cooking classes, wellness sessions, and guided adventures. Some “extra curriculum activities are essential, whether you are organizing an offsite, a team retreat, or a getaway.

• Ground Transport & Airport Shuttles 5% – 8%

Airport shuttles, group buses, and getting everyone from A to B is an important part of your event.

• Workspace, AV & Dedicated Tech 3% – 5%

And finally, last but not to be forgotten, sound systems, strong Wi-Fi, streaming setups, and meeting room gear are key for seamless events.

As it turns out, nearly a quarter of all line items get changed, added, or tweaked between the first proposal and the final plan.

1. Customization: Proposals usually start with generic activities, but as the retreat gets closer, teams swap in more specific experiences (from wine tastings, yoga, or a cooking masterclass to themed parties and escape rooms) which will be best suited for your team’s needs, abilities, and/or mood.

2. Catering Adjustments: Food and drink budgets are always moving. People join late and add last-minute dietary needs, the CEO decides to end with a last meal extravaganza after all, or to extend the bar for late-night celebrations. These usually evolve as the whole schedule is built and the excitement grows.

3. Transport: Flight changes and staggered arrivals often make transport the wild card of your budget.

3. What is First to Go: Understanding Client Decline Patterns

When budgets get squeezed, what is first to go? Looking at what clients actually decline shows some clear patterns:

• Catering Upgrades  (42%): Extra snacks, fancy booze, and pricey plated dinners are the first to go when it’s time to tighten the belt. Pun intended.
• Secondary Activities (20%): Of course, the main bonding moments remain, but optional add-ons are quick to disappear if costs creep up.
• Non-Essential AV Add-ons: Custom lighting, extra screens, and fancy staging usually get cut in favor of the basics.

4. The 4 Highest-Leverage Cost-Saving Hacks

With the right data, you can negotiate smarter and save money without making your team feel like they’re at a budget motel.

Hack 1: Mid-Week Arrival Windows

Resorts love to charge extra for weekends. Move your retreat to midweek (Monday–Thursday or Sunday–Wednesday) and watch the venue rates drop. It is usually what employees prefer anyway. 

Hack 2:  3 Fixed Shuttle Batches

Solo airport transfers add up fast. Ask everyone to book flights in the same window, run three group shuttles, and you can cut transport costs in half.

Hack 3: Lock in Technical Setup During Contract Sourcing

Venues make a killing on AV rentals. Bundle your tech needs (projectors, screens, mics, Wi-Fi) before you sign the contract, when you’ve got the most leverage.

Hack 4: Cap Evening Beverage Service with Timed Flat Rates

Open bars are a real financial gamble. Timed, flat-rate drink packages agreed with the venue before the party starts are much safer. Drunken nights and hangover mornings shouldn’t really be the vibe anyway.
