What would a retreat with Campfire look like?

How does the booking process work?
We start with an initial call to understand your team’s needs, goals and preferences. This helps us craft a tailored proposal that truly fits what you're looking for. Once you approve the proposal, we handle everything, so you can focus on enjoying the experience.
We have a specific budget in mind. Are there ways to make a retreat more affordable?
Absolutely. One of the most effective ways to optimize a budget without compromising on quality is through date flexibility. If you are open to moving your retreat to a shoulder or off-season (for example, a month earlier or later than peak times), we can often find much better rates on incredible locations.
How do you help us choose the right location if we're unsure where to go?
Based on our initial discovery call, we create a visual "mood board" of potential locations that we believe match your team's goals and vibe. By getting your feedback on these real examples, we can quickly finetune the search and zero in on the perfect place for your team to connect and thrive.
What happens after the first call, and how quickly can we get a proposal?

When is the best time to enquire?
There’s no ‘wrong’ time, frankly. People need to escape the office year-round. The truth is, while Spring and Autumn are the popular darlings, planning outside that—say, a quiet moment in January—can often land you much better venues and deals. We can, and often do, manage last-minute dashes based on availability.
What is the first discovery call with your team like?
Our first call is a collaborative 15–30 minute session designed to understand your vision. We'll ask detailed questions about your team, your company culture, and the goals you want to achieve. It's a two-way conversation where we listen deeply to ensure we can build a proposal that’s a perfect fit—not just a sales pitch.
What happens after the first call, and how quickly can we get a proposal?

Our budget is slightly lower than your proposal. How can we work together to meet our target investment?
We treat our proposals as a starting point. If the initial figure is beyond your budget, we collaborate to align the scope with your investment—adjusting catering, rooming layouts, or stay length while preserving the core experience.
We require absolute certainty on the total cost for our approval process. Can you guarantee a fixed price with no surprises?
Yes. We can structure our proposal with a guaranteed, all-inclusive price by using flat-rate budgets for variable categories. This ensures complete predictability from day one.
We want to book, but our budget isn't formally approved yet. What are our options to avoid losing our preferred dates or venue?
We can secure your venue and dates with a reduced initial deposit, giving you time to finalize internal approvals without losing your preferred options.
Logistics
How many people can you accommodate?
If your team is closer to 12 people, we focus on finding those exquisite, intimate boutique spaces that encourage genuine connection—the real 'campfire' vibe. But don't let that fool you; our expertise scales. We can, and often do, manage complex logistics for groups up to and over 600 people, sourcing dedicated conference centers or large, flexible resorts. The accommodation moves from quaint to comprehensive, but the core promise remains the same: we eliminate the logistical nightmares, regardless of your headcount.
What types of buyout options do you offer?
We can arrange everything from individual rooms (single, double, or shared) to a full buyout of a property for ultimate privacy and customization. Whether you're looking for rustic charm or corporate comfort, we ensure all our partner locations are fully vetted and equipped for a productive and inspiring stay.
What’s included in a package?
Think of it as the glorious logistical machine running quietly beneath the surface. Our standard package covers the essentials: accommodation, all meals, productive workspaces, and, crucially, full on-site management. This means a dedicated campfire event manager is there to solve the inevitable room assignment headaches and make sure the WiFi doesn't stage a revolt. You can then bolt on the fun bits—or the necessary bits—like expert facilitators, team activities, or wellness sessions. We just make sure the foundations are rock-solid first.
Are the locations suitable for working?
Yes. Every venue is vetted to ensure it has professional meeting spaces, proper facilities, and reliable high-speed internet—so you can stay productive without tech hiccups.
The ideal location for us might not have direct flights. How do you manage that?
We ensure travel remains smooth, highlighting routes with short layovers or arranging group overnight stays in hub cities. For large groups, we can even charter private connections to turn travel into part of the experience.
We're concerned the transfer from the airport to the venue is too long.
We turn transfers into a shared experience—with comfortable transport, refreshments, and even onboard activities or icebreakers. It becomes the real start of your retreat, not a delay.
Your venues seem unique and rustic—how do you reassure us they meet corporate standards?
We select venues with character and reliability. Each one meets corporate standards for comfort, cleanliness, and connectivity while maintaining the charm that inspires creativity.
Our team will be arriving on many different flights across the day. How do you manage that?
We can arrange multiple shuttles, central meeting points with workspace access, and agendas that start after all arrivals—so no one misses key sessions.
Do you also manage flight bookings and complex travel arrangements?
Yes. We handle group and individual travel logistics, including flights, transfers, and coordination from multiple origins.

The app serves as a central hub for all essential information—like agendas, maps, and workshop materials—which remains accessible even without an internet connection. It keeps your team connected and informed with features like push notifications for real-time updates, interactive Q&A and polls, and integrated networking tools, all fully customized to match your company's branding.
What facilities do you provide for work sessions and meetings?
Productivity is a core component of every retreat. All our venues are equipped with professional workspaces, from large auditoriums and plenary halls to smaller, intimate breakout rooms. We ensure you have all the necessary A/V equipment, including projectors, screens, microphones, and high-speed Wi-Fi. For a seamless experience, we can arrange all-inclusive daily delegate packages that bundle room rental, tech, and catering.
Will someone from the company be with us during the retreat?
Yes. A dedicated on-site team ensures everything runs smoothly—from check-in to last-minute adjustments—so you can focus entirely on your team.
What happens in case of bad weather or unexpected changes?
Every outdoor plan has a Plan B (and usually a Plan C). We coordinate all adjustments directly with partner venues so your experience stays seamless, even if the weather doesn’t cooperate.
Do you offer wellness and relaxation activities?
