Popular retreat venues and travel destinations often book up six to nine months in advance. By starting early, you give yourself more choice when it comes to location and dates, and the opportunity to pick the ones that best suit your team. This is even more true the bigger your team is. When you need not only a large group-friendly location but also one that offers sufficient meeting spaces and on-site activities, all while being easily accessible and within budget.
Let's face it, logistics can turn into a nightmare when not planned properly. By starting early, you give yourself enough time to think through everything, without last-minute panic. It also means you can stay within budget and have plenty of time to coordinate properly with all the facilitators, even working out a plan B if needed, in case of unexpected disruptions.
Once again, large groups require more time to negotiate rates, book travel, coordinate activities, and secure the necessary visas, insurance, or permits.

If you are planning a retreat during the "high seasons" (usually spring and fall) and/or at a popular destination, you will want to add some planning time (6-9 months) to make sure you don't get pipped at the post by other companies!
No surprise here, but the further you plan to go, especially internationally, and the longer you plan to stay, the more planning work it will require.
It is not impossible. Some retreats can sometimes be pulled together in 6–8 weeks, but keep in mind that the longer you wait, the higher the cost and the lower the choices.
