For years, the Campfire annual retreat followed a predictable, if beautiful, script: we went to the mountains. But by February 2026, the industrial air of Turin felt a little heavier than usual. The team had grown, the pace had accelerated, and the "Zoom fatigue" was real. We didn't just need a meeting; we needed a change of state. So, we traded the peaks for the coast, packed the core team into a fleet of vans, and headed south toward the Ligurian Sea.
ESSENTIALS AT A GLANCE

Campfire Field Notes · Client Retreats

How a team spread across several countries converged in Berlin and found their temporary base in a repurposed industrial campus.

Operating at the cutting edge of the fair-code automation boom, n8n has quietly engineered a digital ecosystem trusted by thousands of developers globally. Yet, the very architecture that enables their success — a hyper-efficient, distributed network of engineers and strategists spread across dozens of countries — presents a distinct cultural challenge.

When workflows are flawlessly automated, the friction of daily human interaction disappears. The intervention in Berlin was not designed to fix a broken system, but rather to introduce a deliberate, creative friction that only physical proximity can provide. Bringing 275 people together required a delicate balance: providing the space to deliberate on complex open-source ecosystems while ensuring the collective culture remained as nimble as the software they build.

We’ve always believed that for the important stuff, less is more

Our agenda was sparse by design, built on the philosophy of “giving a powerful nudge and letting it cook.”The first nudge was a Storytelling Workshop. We skipped the boardroom for a glass-walled space overlooking the waves, then split into teams with sixty minutes to script, film, and edit a one-minute video capturing the Campfire soul.

Terraces and olive groves became film sets, and the energy was electric. Distilling our mission into sixty seconds stripped away the jargon and revealed the heart of what we do. That night, the creative high spilled into a legendary Karaoke Night, where the last professional barriers dissolved in a chorus of badly sung ’90s hits.

Canvases, cobblestones, and cameraderie

The atmosphere was defined by the raw, artistic pulse of the capital. Inside the collaborative campus, natural light flooded through expansive industrial windows, illuminating raw concrete floors and modular breakout zones that felt entirely removed from standard corporate monotony. The air carried the faint scent of fresh spray paint during an afternoon where the team traded keyboards for aerosol cans, covering collaborative canvases with vibrant graffiti.
As dusk fell over the city, the texture shifted. Across from the sleek glass facade of the main quarters, a rare pocket of urban green space was transformed into an open-air festival ground. String lights flickered against the twilight, smoke drifted from open fire pits, and the sharp, brassy rhythms of a local marching band cut through the evening air, grounding the global collective in a shared, tactile reality.
The four-day programme was structured to mirror the fluid logic of n8n’s own platform — highly organized yet entirely adaptable. Days were dedicated to rigorous, self-assembled workshops within the collaborative village, where engineering teams and partnership managers mapped out integrations with global tech giants. The transition from intense strategic alignment to collective celebration was designed to be seamless.

When an uninvited April downpour threatened to derail the outdoor campfire dinner, the blueprint adapted instantly. The festival, marching band included, swiftly migrated indoors without losing an ounce of momentum. The culmination of the retreat took the form of a collective dinner that defied the typical quietude of corporate banquets.

An international band moved amongst the tables, transforming the room into an interactive amphitheatre where developers and executives alike abandoned their seats to join the performance on stage. It was a masterclass in designed spontaneity, proving that the most profound corporate alignment often happens when the agenda is briefly left behind.

Special challenges & highlights

The Structural Weather Pivot When a sudden storm disrupted the outdoor campfire festival, the team managed a complex mid-event relocation of food corners, a live marching band, and 275 guests into indoor spaces within minutes, turning a potential washout into a cozy highlight.

The Synchronised Flight Recovery Overcoming eleventh-hour flight cancellations for the production crew ensured that on-site execution remained completely seamless from the moment the first global arrivals landed in Berlin.

The Interactive Symphony Designing a "singing dinner" concept that successfully coaxed 275 traditionally introverted software engineers to storm the stage and sing alongside an international live band.

The Recap

The four-day intervention achieved a rare feat for a large-scale tech gathering: a 100 percent attendance rate across 14 intensive workshops, paired with a significant measurable lift in cross-departmental alignment heading into the next fiscal quarter. By embedding the culture of a fast-growing automation platform into the tangible, chaotic rhythm of Berlin, the event left a lasting legacy—proving that while workflows can be automated, the trust that fuels them cannot.

We hosted our AI Summit with Campfire - nearly 500 attendees - and from start to finish, the experience was outstanding. Ideas, execution, responsiveness, commitment, hands-on effort: everything was exactly how you'd hope it to be. It's such a relief to know you can rely 100% on a team that consistently finds solutions and makes the right calls in the moment.I've worked with a lot of agencies over the years, and Campfire genuinely stood out. The on-site team was warm, professional, and - what I appreciated most - proactive. They didn't just "run" the event; they lived it with us.

We recently used Campfire to host our company IRL in Berlin and honestly couldn't recommend them more highly.Leti and Mari were absolutely exceptional. From the first conversation to the final day of the event, nothing was ever too much hassle — they were organised, responsive, and genuinely went above and beyond at every turn. In all the events we've run as a company, we've never worked with organisers quite like them. The proof is in the results — this was our highest rated IRL yet. If you're looking for an events team who will make you feel like you're their only client, look no further. We'll be back.

Campfire has been worth their weight in gold. I am so grateful for everything they have done for our company retreat. From the first contact, to saying bye at the end of the stay, I know they have been there for us. They’ve been a constant, calm, companion in what could be a stressful and complicated few days.

Campfire organized an outstanding retreat for our company in Sicily, accommodating around 200 participants. Everything was top-notch, from the shuttles to and from the airports to the food, accommodation, workspaces, and even social areas. Letizia and her team were incredibly responsive and practical whenever we had new requests or needed changes throughout the week. This was our second experience working with Campfire, and we hope it won't be our last.

We partnered with Campfire for our company's annual retreat. As a UK-based company, this was the first time the company went abroad for it and finding a partner that could help us sort out all of the details, spoke the local language and plan a truly memorable event was vital to its success. Over several months we worked closely with Letizia and the Campfire team to brainstorm and plan every last detail for the retreat in Italy. They were well organised, great at communication and always reachable when we had any questions. They ensured our team of over 30 were well taken care of at the venue and made sure that every request was handled in a timely manner. They helped us pull off the event beautifully and we definitely recommend them for corporate retreat planning!

From the beginning, they were always there to ensure everything ran smoothly and our needs were met – no matter how big or small. Their attention to detail, quick response and friendly approach made the planning process enjoyable. Thanks to their incredible support, the event was a huge success. We used Campfire for the first time this year, and our annual company offsite turned out to be the best one yet. I had the pleasure of working with Letizia and Francesca, who were both incredibly understanding and accommodating. They took the time to listen to our needs and offered thoughtful suggestions for activities, which ended up being the highlights of the trip. Thank you both again for making it such a great experience!

Great organized trip to Portugal. Every small issue was addressed as best as possible. Additionally, our local guide was just amazing, dealt with everything and was still able to find a few minutes for everyone to learn some more things about our location and Portugal in general.
